Audits and Verification of Services & Accounts

It is common to find large organisations accumulate vast numbers of Telco accounts and it is not unusual to have many accounts with one carrier.

Sometimes it is found that, within a single organisation,  several accounts have been created over the years, each with completely different rates and charges.  In the case of mobiles we often see multiple accounts with multiple carriers, with multiple plans and rates.

CommsCorp works closely with its clients to implement processes that validate current accounts and, where necessary, consolidate the various accounts to ensure a most efficient and cost effective service of one account per carrier.

Our auditing of Telco accounts ensures:

  • All agreed rates and plans are in place;
  • All listed services are required;
  • Any redundant services are found and disconnected, providing ongoing annual savings;
  • Accounts are consolidated, where applicable;
  • A database of all services, per site, is created;
  • Electronic billing is implemented, if required;

Once we have verified all services and gone through the consolidation process we are then able to manage, on a month to month basis, the organisations accounts to ensure that any new services connected are immediately flagged and actioned, overcharging is picked up on a month to month basis and eliminates the need for annual re-auditing of all sites.

Our auditing process also enables the organisation to then, once all services are verified as required and current, look at other possible electronic management services, on the basis of actual services rather than estimated services.

We have, through many years of experience, established a solid process for the auditing of accounts, which in turn always saves the client a substantial amount of money, due to the errors and anomalies that appear on accounts each month.

The various types of audits that CommsCorp undertake are detailed in the following:

Physical Audit

A full physical audit is conducted on site wherein our professional and experienced staff locates all telecommunications services and equipment to enable a more efficient and effective means of managing such services and their related costs. The audit produces a full, hard and soft copy database, Up to date Main Distribution Frame (MDF) records and floor plans (if available) and concludes by reconciling all Telco accounts related to the organization (see item 3 below);

Desktop Audits;

We understand that it is not always viable to conduct a full physical audit of services and equipment, for various reasons such as site location, size of remote sites etc. In these instances we provide a Desktop Audit Service without physically being on site. This enables us to verify relevant services and equipment at your premises and is conducted in conjunction with a Main Distribution Frame (MDF) test, carried out by a local technician.

Mobiles Audits;

Aggregation, inventory control and a single bill are only the first steps in optimising your mobile communications. Telecommunications competition must be continuously used to your advantage.

We work with you to identify what you have, what you use, what you pay and how you pay it. We audit your mobile equipment and retain the audit details in our specialised computer support system.

Pager Audits;

Long range pagers together with internal pagers can be a significant expenditure for an organisation and also require auditing to ensure that all associated costs related to pagers are identified and established as relevant costs.

We provide, as part of this service, an assessment that establishes comparative costs in relation to other providers to ensure that your organisation implements the most effective paging service available.

Data Services;

CommsCorp have also expanded its auditing services in to Data, wherein we identify the following:

  • Data Cabinet types;
  • Configuration;
  • Voice and data services connected and spare;
  • Environmental issues;
  • Pairs from IDF’s to cabinets;
  • Cabinet layouts;
  • Capacity of cabinets and equipment;

Carrier Bill reconciliations;

Reconciliation of equipment and services ensures that carrier documentation reflects actual connections related to the clients premises and not only results in a rebate to the client for overcharges and errors made but also substantial on going savings due to redundant services being decommissioned.
